Pre-order settings hold everything a pre-order needs. Every new pre-order starts from them, and you can change them for each one. Pre-orders you’ve already made keep their own. Open it from Pre-orders → Pre-order settings in the portal sidebar, or Settings on the Pre-orders page (portal and app). In the app, only the store’s owner can open it. The same parts are on each pre-order’s Settings tab. Changes there are for that pre-order only. Once a pre-order has orders, payment changes apply to new reservations; orders already placed keep their terms.

Payment

Payments go straight into your payment account with Stripe. Local Pass takes 5% of each order (at most $25) plus tax on that fee, unless your agreement with Local Pass says otherwise. The card fees come out of each payment. On a refund, the customer gets the full amount from your balance; Local Pass’s fee and the card fee aren’t returned. How customers can pay (keep at least one on):
  • Pay now: card at checkout. The order is secured at once.
  • Reserve and pay later: we email an invoice.
Customers pay: In full, or Deposit, then the rest. A For example line shows how it plays out, such as “Reserve Mon → deposit by Wed → balance due Fri for a Sat pickup”.

Card processing

  • Customers cover it (recommended): your pre-order prices include 3.5% for card processing, so $20.00 a lb shows as $20.70. There’s no separate fee for customers.
  • I’ll cover it: customers see your prices exactly. The card fees (about 2.9% + 30¢ a payment, plus 0.4% on invoices) come out of each payment.
Each choice shows about what you keep on a $100 order, with an example table.

Pickup locations

Each pre-order copies these and gets its own pickup date for each. The first one starts as “My store” at your address. Up to 10.
  • Name, for example “Langford store”.
  • Address: search it, then drag the pin to the exact spot.
  • Pickup times: Morning 9–12, Afternoon 12–5, All day 9–6, or your own.
  • Pickup date: On a date, or Set it later (from the Delivery tab).
  • How to find it (optional): where to park, which door. It’s shown on your public page and in customers’ emails, including the one with the pickup date, so don’t put gate codes here.

Delivery zones

You deliver to the towns in each zone, each with its own fee and times. Up to 20.
  • Name, for example “Greater Victoria”, and the Towns. A town can be in one zone only.
  • Fee, Free over (or never), and GST on the delivery fee.
  • Zone minimum (optional): only if a far zone needs more. The larger of this and your order minimum applies.
  • Delivery times (optional) and Delivery date (On a date or Set it later).
GST on the fee usually follows the goods: zero-rated groceries, no GST. Ask your accountant. You deliver these orders yourself. Dated deliveries show on your Delivery routes.

Order rules

  • Order minimum (optional): every order must reach this, before tax.
  • Item defaults: what a product starts with when you add it to a pre-order. Sold by (lb to start), Smallest order, In steps of (0.5 to start) and Charge GST by default (off to start).
Fresh or frozen fish, vegetables and raw meat are usually zero-rated (CRA, GST/HST Memorandum 4.3). Ask your accountant. Things sold whole (each, bunch) always use whole numbers.

Notifications

How you hear about new orders:
  • Email me each new order (on to start): every reservation, with what was ordered. Leave Send emails to blank to use your account’s email.
  • Text me about each new order (off to start): a short text with who ordered, what, and the total.

Policies

What customers agree to before they reserve. Each pre-order starts with these. Each policy shows Standard or Edited; press Edit to change it, or Reset to standard. Up to 1,500 characters each. The standard ones cover:
  • Payment: pay within your time, or you may release the order.
  • Cancelling: a full refund until orders close; after that, no refund.
  • Items sold by weight: if it’s under, you refund the difference; the customer never pays more than they paid.
  • Sold out or missing items: you refund it, and nothing is swapped without asking.
  • Pickup and Delivery: what to do if they can’t make it, or nobody is home.
  • Keeping your food fresh.
Pickup, delivery and weight policies show only when they apply.
The standard policies are general wording, not legal advice. You’re responsible for your own terms.
