Local Pass doesn’t pay producers for you. You pay them yourself, by e-Transfer, cheque or cash. Each producer’s page keeps a running account of what you owe them, so you always know where you stand. To add producers, invite them, or check the products they add, see Producers.
Only the store’s owner can see producer records and what you owe them.

Choose how you pay them

When you add or edit a producer, pick How you pay them:
  • A share of what sells: they bring products, and you pay them their part of what sold. Set Their share (%).
  • You buy from them: you send them orders at your cost price. What you receive is what you owe.
Count what you owe from (optional): sales and payments before this day aren’t counted. Use it when you start tracking a producer you’ve already been paying. Clear it to count everything.

Changing their share

If you change Their share (%), you’re asked when the new share applies:
  • Sales from a date on: earlier sales keep the old share.
  • All their sales, past ones too.
A statement you’ve already paid doesn’t change underneath you. If you move a product from one producer to another, its earlier sales stay with the first producer.

The Producers page at a glance

At the top of Products → Producers, tiles show You owe producers, what Customers ordered of their products this week, and Your open orders. Press a tile to open its list. The page has three tabs:
  • Producers: each producer with how you pay them, products, what was ordered this week, their last sale and You owe. Filter by status or by How you pay them, and download a CSV.
  • Customer orders: what your customers ordered of each producer’s products, by day.
  • Orders to producers: your purchase orders, open or received. This tab shows once you buy from a producer.
If some of your products name a producer you haven’t set up yet, the page lists them under Names on products, not set up yet. Set them up to see their sales and keep track of what you pay them.

One producer’s page

Open a producer to see:
  • You owe them, Paid to date, Open orders, Sold this month and their Products
  • Orders, if you buy from them
  • What customers ordered: their pick list
  • Statement
  • Products linked to them, with your cost price if you buy from them
  • Payments you’ve made

Buy from a producer with orders

For a producer you buy from, press New order.
  1. Pick the Delivery day.
  2. Enter a quantity of each product, at Your cost. Press Fill from customer orders to fill the quantities with what customers ordered for the week from that day.
  3. Add a Note to them (optional), for example “Back door, before 9”.
  4. Press Save draft, or Send to producer.
Your cost prices are remembered for next time. They stay private: shoppers never see them. Send to producer doesn’t send anything by itself. It marks the order sent and opens Order #… is ready to send. Send it the way you usually reach them:
  • Email opens your own email app with the order filled in. Add their email in Edit to use it.
  • Print prints the order with your prices and the total.
  • Copy as text copies it to paste in a text or message.
What the producer sees: the email or text lists the order number, your store’s name, the delivery day, each product and quantity, and your note. It doesn’t show prices. The printed order shows prices and the total.

When the order arrives

Open the order and enter what actually arrived under Received. Press Mark received. What you receive is added to what you owe them, on the day you mark it. You can also Change the order or Cancel this order. A draft can be deleted with Delete draft.

What customers ordered (the pick list)

What customers ordered shows your customers’ orders for this producer’s products, by the day each goes out. Use it to decide what to order from them, or send it to them so they know what to bring.
  • Print for them prints quantities by day, without your prices.
  • CSV downloads the same list.
  • Order this from them starts a new order from it (for producers you buy from).
On the Producers page, the Customer orders tab has the same list for every producer, with a print button and a download button beside each producer’s name. Printouts and CSVs list quantities only: your prices stay on screen.

Statement

The Statement shows what you owe a producer, day by day, like a bank statement. Pick the dates: This month, Last month, Since last payment, or Pick dates. It starts with Owed at the start and ends with Owed at the end. In between there’s a row for each:
  • Sales: a day their products sold, and their share. Counts orders that were paid or completed (wholesale orders once their invoice is paid), after refunds, items you couldn’t supply and cancelled orders. Press the row to see the orders behind it.
  • Order received: an order you marked received, at your cost prices.
  • Paid: a payment you added.
Each row shows the Balance after it. Press Print or CSV to share it with the producer or your accountant.

Record a payment

When you pay a producer, press Add payment:
  • Amount
  • Paid on: the day you paid. This is the day it counts.
  • How: e-Transfer, cheque, cash or other.
  • For (shown on the payment): the dates it covers.
  • Note (optional)
The window tells you what you owe them now. You can edit or remove a payment later. Payments to producers can also go into your export for your accountant.

Stop working with a producer

Press Stop working with them. They move to the Stopped list on Producers, with their sales and payments. You can bring them back at any time. You can only delete a producer who has no products, orders, sales or payments.
