Customers → CSA members lists everyone you have a relationship with through your boxes: current and past members, people on a waitlist, and people you’ve invited. Each box’s own Members tab shows the same people for that box.

The member list

Filter the list with Current, Not paid, Paused, Waitlist, Invited, Past or Everyone. Narrow it with the box and tag menus, or search by name, email, phone or tag. Each row shows the person’s boxes, their plan, their payment, their next box, and buttons to email, call or text them.

Payment

The payment pill says where each member stands:

Open a member

Press Open on a row to see the person’s details:
  • Contact: email and phone. Email writes to them through Local Pass. Email app, Call and Text use your own email app and phone.
  • Membership: the box, their plan, pickup place or delivery address, payment, next box, member since and boxes received.
  • Weeks: each past box and what happened to it.
  • Notes: notes for your team, like “Called Oct 3: picks up for her neighbour too.” Members never see them.
  • Tags: your own labels, like “Volunteer”, to filter the list. Members never see them.
  • Messages: every email Local Pass sent this person about your boxes. Their replies go to your email, not here.

Skip or put back a box for a member

If a member who pays each week phones to skip, press Skip the [date] box on their membership. They aren’t charged for it, and Local Pass emails them to say so. They can undo it in their account until changes close. Put back the [date] box does the reverse, and the email says their card is charged when changes close. This works only before changes close. Members who paid for the season skip from their own account, where the box’s value goes back to them as Local Coins.

Send a payment reminder

When a member shows Not paid, press Send payment reminder. They get an email with a link to update their card. You can send one every 12 hours.

Cancel a membership

Press Cancel membership, give a reason, and press Cancel membership again.
  • No new boxes are made for them, and a member who pays each week isn’t charged again.
  • They get an email with the reason you gave.
  • If they paid for the season, the boxes they haven’t received are refunded to their card.

Email your members

  • From a member: press Email.
  • Several people: tick their rows and press Email them.
  • Everyone in a box, or its waitlist: press Email everyone in a box and choose.
Write a subject (up to 120 characters) and a message in plain text (up to 5,000 characters). A blank line starts a new paragraph. What the member sees: an email from “your store name via Local Pass”. Replies go to your store’s email. The email ends by saying why they’re getting it, with a link to their membership.
  • Emails are for your boxes: pickups, changes, the harvest. Not for advertising.
  • One send reaches up to 500 people. Your store can send up to 1,000 emails a day.
  • Past members can be written to one at a time. Invited people get only their invitation until they join.

Export

Press Export CSV to download the people shown, or tick rows first to download only those. The spreadsheet has name, email, phone, box, status, plan, pickup or address, since, boxes received, payment and tags. Invited people are included.
Your members’ details are for running your boxes. Keep them private, and don’t use them for advertising.
