The restaurants and grocers you supply can be saved as wholesale customers. Each one gets the prices of one of your order sheets and its own payment terms. Then you can enter orders for them when they phone or text, and email them what you have this week. You need at least one order sheet first.

Add a wholesale customer

Go to Customers and press Add customer. Choose Business, then fill in:
  • Business name and, optionally, Kind of business and a Contact (who you deal with).
  • Email and Phone. A wholesale customer needs an email: order notes and invoices go there.
  • Address: search the business name or address and pick it. The address is saved with its map pin, which Delivery routes use for their wholesale orders.
  • Tags and a Note, if you like. Only you see these. Customers never see your notes or tags.
Turn on Sells to them wholesale, then choose:
  • Price sheet: the sheet whose prices they get.
  • Payment terms: Same as the sheet, or 7, 15 or 30 days.
  • No availability emails: leave them out when you send a sheet’s availability. Order notes and invoices still go to them.
A business that already sent you requests from a sheet shows in Customers too. Open it and press Save customer to keep it as a wholesale customer. To see only these customers, open Customers on its Wholesale filter, or press Wholesale customers on the Order sheets page.

Their profile

A wholesale customer’s profile has a Wholesale part with:
  • Their Price sheet, Payment terms and whether Availability emails are on or off.
  • New order, Repeat last order and Send availability.
  • What’s Open, Overdue and Paid, and how long they usually take to pay (Pays in).
  • Invoices to collect, each with Mark paid. “Paid by cheque, e-transfer or cash? Mark it paid on the order, and we stop sending reminders.”
  • Wholesale orders: every request and order from them.

Enter an order for a customer

Use this when a customer phones, texts, or orders the same every week. Press New order on their profile, or go to Wholesale → New order and choose the account. Repeat last order on their profile starts the same form, filled in from their latest order that wasn’t cancelled.
  1. Products: their sheet’s products at the sheet’s prices. Change any price. Leave a product at 0 to skip it. Products switched off on the sheet this week are listed under Off the sheet this week.
  2. Pickup or delivery, and the Pickup day or Delivery day.
  3. PO number (optional), the Delivery address (it starts as theirs), and a Note that goes in their email.
You see the Order total and You receive when they pay. The sheet’s on/off switch, days, lead time and smallest order don’t apply here: you decide. Then choose:
  • Save — invoice after delivery: the order waits on its page until you’ve delivered. There, change anything that differs from what you delivered (0 removes a line) and press Send invoice.
  • Send invoice now: the invoice goes out straight away.
What the customer gets: with Save — invoice after delivery, an “Order noted” email listing the items, quantities, prices, the day, pickup or delivery, and the PO number. Replies come to you. Then the invoice email when you send it, due on their terms. With Send invoice now, just the invoice email. If the “Order noted” email couldn’t be sent (an email limit was reached, or it didn’t go through), the order is still saved and the page tells you to let them know yourself.

Send your availability

Email a sheet to your wholesale customers: what’s in this week, with the link to order. Press Send availability on a live sheet, in the Order sheets list or the sheet itself, or on a customer’s profile.
  • Sheet: the sheet whose link and prices they get.
  • Note (optional), for example “Order by Tue 2 pm. First strawberries this week.”
  • Send to: customers on this sheet’s prices are ticked. Use All on this sheet or None, or filter by type of business. A customer on another sheet’s prices is ticked only if you tick them.
Press Send to and the number of customers. What the customer gets: an email with your store’s name, the sheet’s name, your note, the link, the password if the sheet has one, and how to order. They order from the sheet as usual. Replies come to your email. The email ends: “Don’t want these emails? Reply to this email and your store will take you off the list.” When someone asks, turn on No availability emails for them. Some customers are skipped, and the dialog says why: No email address, Asked for no availability emails, Daily email limit reached or “The email didn’t go through. Try again later.”
To keep these emails from being used to mail strangers, each email address gets at most 3 of them a day, from all stores together. A store can send up to 200 an hour and 600 a day. “Order noted” emails count too.
