You can change any of them.
- Give it a Name. The Plate is optional.

- Turn on Refrigerated if it has a fridge. Frozen orders go only on refrigerated vehicles, and keep-cold orders go there when there’s room.

Planning rules
Below your vehicles, Planning rules sets what the plan aims for:- Keep-cold orders, without a fridge van, Frozen orders, without a fridge van and Fresh orders: how many minutes after the van starts they should be delivered.
- Home deliveries by: shop orders and farm boxes aim to arrive by this time. A stop that can’t make it is still delivered.
- Finish deliveries by: each van aims to be done and back by this time. With two or more vans, the work spreads to another van when one would run late.
- Most stops per van (two or more vans): no van gets more stops than this in a day. Leave it empty for no limit.
- Plan with typical traffic and Plan for the weather: switch each on or off.
2. Plan a day
Open Orders → Delivery routes. Pick the day with the arrows or the date. Day shows one day. Month shows the whole month, with each day marked Planned, To plan or Delivered. Under the day, a strip shows this week and how many stops each day has. A weather line shows the forecast the plan uses. To plan the day, press the plan button in the card beside the map. It’s named for the day, for example Plan today or Plan Wed, Oct 21. It shares the stops between all your vans and puts each van’s stops in order. It takes about half a minute.- Cold and frozen orders go on refrigerated vans first. A van with no fridge says so, for example “No fridge on this van: pack cold stops in a cooler.”
- Wholesale stops arrive within their receiving hours.
- CSA boxes arrive within the delivery window you promised your members.
- Each planned route says when to leave, with Leave by.
Each store has a daily limit for planning. If you reach it, planning opens again the next day.
One van at a time
Press a van’s card to open its route below the map. From there:- Plan this van (or Plan this van again) plans that van on its own, with the same rules.
- List by street orders its stops by town and street, with no times.
- Print prints the route and the van’s load list.
Change the order by hand
Drag a stop, or use its up and down arrows. Times after a moved stop are cleared until you plan again.Put an order on a different van
Every stop has Put on van ▾. Pick a van. If it goes against your settings, for example the van has no fridge or is over its weight, you’re told and asked first. The order stays on that van for the day, even when you plan again, until you unpin it. The order itself doesn’t change.Orders not on a route
Beside the route, Not on a route lists the day’s deliveries that no van is taking yet:- Not planned yet: plan the day (or a van) again to add them, or put one on a van yourself.
- Didn’t fit: left out when a route was planned, with the reason.
- Can’t go yet: something needs sorting first. The reason is under each one.
Load list
Each route has a load list: what to put on the van for the stops not delivered yet, coldest first (frozen, cold, fresh, then room temperature), with stop numbers. If the plan card says orders still need to be marked Ready, the customer’s card isn’t charged yet. Press Open orders to find them, and mark each one Ready before it leaves.
3. Add your drivers
Your own drivers see your routes in the Local Pass app on their phone. They aren’t Local Pass couriers: they never see courier offers, shifts or earnings. On Delivery Settings, under Driver Fleet:- Under Your driver code, press Make a code. Copy it and give it to your drivers.
- Or press Invite a driver. Enter their First name (optional) and their Email or mobile number, then Send invite. You can also Copy invite and send it yourself.
- Install Local Pass on their iPhone.
- Sign in or create an account. It should be one that doesn’t drive for Local Pass as a courier.
- Open Settings, tap Driving for a store? Enter its code, and enter your code.
Give a van its driver
Once a day is planned, each van card has Driver: ▾. Pick one of your drivers, or Nobody. It saves at once. If a van has no route yet, plan the day first.Drivers without the app
On a route, Send to driver copies a message with your driver code, ready to paste in a text. Open route in Google Maps opens the remaining stops in Google Maps. A long route opens in parts. You can also Print the route.4. Follow the day
On today, the map is Live. It shows each van’s position, its planned line and its stops. Each van card shows who’s driving and how far along they are. When a driver presses Start in the app, the card shows when they started. The stop they’re heading to gets a ring on the map and says Van heading here now. Each stop has Directions, Call and Mark delivered. Marking a stop delivered completes the order (a CSA box is marked collected). You’re asked first, and you can’t undo it from this page. When a driver marks a stop delivered in the app, it shows here straight away.Tell customers their delivery is on the way
On Delivery Settings, under Driver Fleet, Tell customers when their delivery is on the way is on unless you turn it off. What the customer gets:- When your driver starts the route, a heads-up with an arrival window.
- When the driver heads to their stop, a “you’re next” message.
