Catering calendar and prep list

See every catering event by month, week, day or list, block days you can’t cater, download your events and print what to make.

Open Catering → Calendar. It shows every catering event, tells apart what’s still tentative from what’s booked, and shows how full each day is.

Views

Pick Month, Week, Day or List. Today and the arrows move between dates. Phones start on List. The calendar remembers the view you used last.

Each event shows what it is, never by colour alone:

Kind	What it means
Request	Waiting for your quote or reply.
Confirm booking	Paid, waiting for you to confirm.
Quote sent	Waiting for the customer to pay.
Confirmed	Booked and paid, or the deposit is paid.
Done	Completed.
Cancelled	Declined, withdrawn, cancelled or refunded.

Tap an event to see its details and contact, with a link to the order and Prep list for this day.

If you set a Daily capacity in Catering settings, each day shows how full it is against your guests and events per day.

A day

The Day view shows the day’s events, your catering hours (Change hours) and any days you can’t cater (Edit in Settings). It also shows Production for the day: the items to make from the day’s confirmed orders, with how much and who it’s for, the allergy notes, and on buffets, how many guests picked each dish (“Guests, not portions”). Items are added up only once you confirm a booking or a customer pays.

Block this day stops customers picking it. Unblock opens it again, within your catering hours. Longer blocks are edited in Catering settings → When you cater.

Filters and search

Filters lets you search by name, company or order number, choose which kinds to Show, and show Pickup or delivery only. Reset clears them.

Download

Download saves the events shown:

• Calendar file (.ics): add your events to your own calendar. Calendar files leave out phone numbers and emails, since calendars are often shared.
• Spreadsheet (.csv): opens in Excel, Numbers or Google Sheets, with each customer’s phone and email.

Prep list

The prep list is what to make for one day, from its confirmed orders. Open it from a day in Next 7 days, from an event, or from the Day view. Pick the Day, then Print.

It lists:

• Allergies noted on the day’s orders.
• To make: each item, how much and who it’s for.
• Buffet dishes: how many guests on the buffets picked each dish.
• Services and rentals to bring.
• Orders: each order with its time and pickup or delivery.

Orders still waiting for you to confirm are counted separately, so you can plan.
