Open a box from Sell → CSA boxes. Each card on that page shows the next box day, when changes close, and whether this week’s list is posted (No list yet, Not posted yet, Posted to members or No box this week). The buttons This week, Harvest list and Members go straight to those tabs.

This week

Pick the Box day at the top. The tab says when changes close for it.

The week at a glance

The top of the tab sums up the day in plain words, for example “18 boxes · 2 skipping · 1 donated · your payout ≈ $612”, then:
  • Paid · Pending · Not paid: how the boxes stand on payment.
  • How many are for pickup and for delivery, and how many extra items members added.
  • New members, and members who cancelled or ended, since the last box day. People on the waitlist.
Open How your payout adds up for the breakdown: boxes and extras, your delivery fees, GST you collect, the Local Pass fee and the GST and PST on it, refunds, and your payout. Before changes close it’s an estimate (marked ≈), because skips, pauses and new members can still change it. After the boxes are made, it’s what goes to your wallet.

What’s in the box

For a box where you list the items:
  1. Type each item and how much goes in one box, for example “Kale, 2 bunch”. Suggestions come from your products and common item names.
  2. Or press Start from your typical items.
  3. If members can swap, press Add a swap under an item to offer an alternative.
  4. Add a Note to members if you like: news from the farm, how to store the greens, a recipe idea.
  5. Press Post to members. Members see the list on their membership and can make their swaps. Save draft saves it without showing members.
After you post, change the list and press Save changes. Members see the changes straight away. No list this week? The box still goes out, and members see your typical items. For a surprise box there’s no list to post. To tell members what’s coming, press Write to your members.

No box this week

Turn on No box this week and press Save — no box this week. Add a note to say why, and when boxes are back. Members see it on their page, and nobody pays for that week. Members who paid for the season get that box back as Local Coins. You can also take weeks off ahead of time on the box calendar.

After changes close

The list is locked, because the boxes are made from it. You can still edit your note and press Save note. If you never posted the list, you can still press Post to members so members see what’s coming.

Harvest & pickup

Pick the Box day. Until changes close, the list says “Not final: members can still make changes”. After, it says Final: these are the week’s orders.
  • To harvest: every item in that day’s boxes, swaps included, with the total and the amount for each pickup place.
  • Extras members added: what to pack beside the boxes.
  • A list for each pickup place, with each member’s name, phone and box contents. Donated boxes say who they go to.
  • Home delivery, if you deliver: stops numbered town by town, so the list reads as a route. Use Print route and Copy addresses. You deliver these yourself; Local Pass doesn’t send a courier.
Press Print or PDF to print the harvest list.
Only hand over a box marked To pack or Paid — order being made. A member whose card was declined shows Not paid — don’t hand over. Their card is tried again every 12 hours until your pickup window starts. If it still hasn’t gone through, no box is made for them that week.

Mark boxes picked up

Each box becomes an order when changes close. As members collect them, tick each name and press Mark picked up, or press Mark all at this site. For deliveries, use Mark all delivered. Members aren’t emailed when you do this. Boxes are also in Order fulfillment with your other orders. Use the CSA filter to see only boxes. A box paid for with the season reads Prepaid.

Members and Waitlist

The Members tab lists this box’s members: how often, pickup or delivery, payment, since when, boxes received and donated, and status. Filter by Current, Not paid, Home delivery or Cancelled or ended, and press Copy emails to copy their addresses. Open a member to see more. See Members. The Waitlist tab shows who is waiting for a spot, if the box has a member limit. When a member leaves, the first person who hasn’t been told yet gets an email that a spot opened.

Updates

Updates is a timeline of what happened to the box, newest first: lists posted, weeks off, cards charged, members who joined or left, invitations sent and settings changed. To write to every current member of the box, use Write to your members at the top. The subject starts as “News from” your store name. Write your message and press the send button, which says how many members it goes to.
  • It comes from “your store name via Local Pass”. Replies go to your store’s email.
  • Members get it by email, and see it under From the farm on their membership on localpass.ca.
  • It’s for your boxes: pickups, changes, the harvest. Not for advertising.
  • Your store can send up to 1,000 emails a day.
