Customers lists everyone you sell to: people who bought from you in the past year, and the people and businesses you’ve saved yourself. It’s in the business portal and in the Local Pass Business app.
  • Portal: in the sidebar, Customers → Customers.
  • App: in the menu, under CUSTOMERS, tap Customers.
Customers is for every business except restaurants, in the portal and the app. A business with no type set counts as a store. The wholesale part is for shops and farms only.

Step by step: work with your customers

1

Find a customer

Open Customers and type in the search box: a name, business, email, phone or tag. The list narrows as you type.
2

Filter the list

Press Filters and tick what you want, for example Buys through → Wholesale or Status → Gone quiet. The list shows only the customers who match. In the portal, the page’s address keeps your filters, so you can bookmark the view.
3

Open their profile

Click or tap a customer. You see their orders, spend and status, their last 12 months, what they buy most, and each order.
4

Save them

Tags and notes are for saved customers. If they bought from you but aren’t saved yet, press Save customer, check their details and press Save customer again.
5

Tag them

Add a tag, such as “Farmers market” or “Allergy: nuts”. It saves right away, and you can then search and filter by it.
6

Add a note

Type in Your note: delivery instructions, who to call, what they usually need. It saves as you type. Customers never see tags or notes.
7

Message them

Press Message to chat with them, the same chat as in your Inbox. They need a Local Pass account. You can also press Call or Email.
8

Add a wholesale account

For a business you supply, press Add customer and choose Business. Enter the Business name and an Email (wholesale customers need one: order notes and invoices go there). Turn on Sells to them wholesale, choose their Price sheet and Payment terms, and press Save customer. Their profile now has a Wholesale part, with New order and Send availability. See Wholesale customers.

The list

At the top: Each customer shows their orders, what they spent, their last order and a status: On a phone you get a list. On a wider screen you get a table you can sort by any column. In the app on a tablet, the list and the customer sit side by side.

Search and filter

Search by name, business, email, phone or tag. Press Filters to narrow the list:
  • Type: Person, Business, or a kind of business (Restaurant, Café or bakery, Grocer or market, and more).
  • Buys through: Shop, Wholesale, CSA, Catering or Pre-orders.
  • Tags: your own tags.
  • Orders: for example No orders yet, 2 or more, 10 or more, or your own range.
  • Spent: for example Under $50 or $500 or more, or your own range.
  • Status.
Ticking several in one group shows customers who match any of them. Filters in different groups must all match. Sort by last order, spend, orders, name or status. In the portal, your search and filters stay in the page’s address, so you can bookmark a view.

A customer’s profile

Open a customer to see:
  • Who they are: Person or Business, their contact details and when they became a customer.
  • Orders, Total spent (less refunds), Average order, Last order, How often they order, First order, whether they prefer pickup or delivery, and their status.
  • Last 12 months: orders by month.
  • What they buy most: their top products, how often and the last price.
  • Orders: each order, with its channel, pickup or delivery, status and total.
  • Reserved, not paid: pre-order reservations with nothing paid yet. These aren’t counted in orders or spend.

Contact them

  • Call and Email open your phone or email.
  • Message opens a chat with them, the same chat as in your Inbox. It’s for every business except restaurants, and the customer needs a Local Pass account.
There’s no group email. Shoppers haven’t signed up for newsletters from you, so you contact them one at a time.

Tags and notes

For a saved customer, add up to 10 tags (for example “Farmers market” or “Allergy: nuts”). Tags save right away. Your note is for delivery instructions, who to call or what they usually need. It saves as you type. Only you see tags and notes. Customers never do.

Add or save a customer

Press Add customer to add someone who isn’t in the list yet. For someone who bought from you, press Save customer on their profile to keep them with your own notes and tags.
  1. Choose Person (their Name) or Business (the Business name, and optionally the Kind of business and a Contact).
  2. Add an Email or a Phone. One is enough.
  3. Optionally add an Address, Tags and a Note.
  4. Press Save customer.
To change them later, press Edit.

Wholesale customers

A business you supply can be a wholesale customer: turn on Sells to them wholesale and choose their Price sheet and Payment terms. Their profile then has a Wholesale part with New order, Repeat last order, Send availability, what’s open, overdue and paid, and the invoices to collect. See Wholesale customers. In the app, New order and Repeat last order open the business portal.

Download a CSV

Press Download CSV to get the customers you’re looking at, with their filters and sort. It has each customer’s name, business, email, phone, orders, spend, average order, first and last order, pickups, deliveries, how they buy, type and tags. In the app, it opens your share sheet. The file holds customers’ contact details. Keep it safe, and use it only to serve your customers.
