# Bring your current members

> Import your customer list and invite each person to join your box with a personal link, with their spot held for them.

Moving your CSA to Local Pass? Import your customer list from a spreadsheet. Each person gets an invitation by email with a personal link to join.

An import never signs anyone up. To join, each person creates a free account (or signs in), chooses how often and where, agrees to your member agreement and adds their own card.

## Import your list

Go to **Customers → CSA members** and press **Import**. The import has four steps.

### 1. Your list

* **Upload your spreadsheet**: Excel or CSV. You can also paste rows copied from a spreadsheet, column names included.
* No list yet, or a messy one? Press **Download the spreadsheet**. It has columns for First name, Last name, Email, Phone, Box, How often, Pickup, Tags and Notes, with your boxes, how often and your pickup places as dropdowns. Fill it in, then upload it here.

A list can have up to 3,000 people.

### 2. Columns

Match your columns to the fields. They're guessed from your column names. You need a name (or first and last name), and an email or a phone number for each person. Only people with an email get the invitation by email.

Under **Which box they're joining**, choose **The same box for everyone**, or **A Box column in my list**. With two or more boxes, every row needs a box.

### 3. Check

Every row is shown as new, already on your list (their details are updated and tags added) or **Not imported**, with the reason. For example:

* No email or phone number
* The email doesn't look right
* Already earlier in your list
* Already a member
* Asked not to be emailed

### 4. Invitations

* **Email their invitations now**: on by default. Turn it off to import now and send later.
* **Hold their spot for**: 7, 14, 21 or 30 days, or **Don't hold spots**. Shown when the box has a member limit. A held spot is saved for that person, so new shoppers can't fill the box first. Spots are only held while the box has room.
* A personal note that goes in every invitation from this import.
* Tick **These are my own customers, and they expect to hear from me about my boxes.**

Press the **Import** button, which says how many people it imports and whether it invites them. Large lists go in batches of 500. Keep the page open until it finishes.

## What each person gets

An email from "your store name via Local Pass", with the subject "\[Your store]'s CSA is on Local Pass now". Replies go to your store's email. It has:

* A button to their personal link, which opens signup with their box, how often and pickup or delivery already chosen.
* "Your spot is held until \[date]", if their spot is held.
* Your note.
* A **Stop these emails** link. If they press it, Local Pass won't email them about your boxes again, and your list shows **Asked not to be emailed**. They can still sign up on their own.

When they join, their invitation is marked joined, and your notes and tags move to their membership.

## Follow up on invitations

Use the **Invited** filter on your member list. Open a person to see their invitation:

* Their box, how often and pickup or delivery (or "They choose").
* **Their personal link**, with **Copy**. Text it from your phone if they'd rather not get email. A texted link doesn't hold a spot; only an emailed invitation does.
* **Send invitation** or **Resend invitation**. An invitation can go out 3 times, at least 3 days apart.
* **Edit** to fix their name, email, phone, box, how often or pickup.
* **Remove** to take them off your list. Your notes and tags on them go too.

To invite everyone you imported but haven't invited yet, press **Send the \[number] not sent yet** on the **Invited** list. To invite a few, tick their rows and press **Send invitations**.

> [!NOTE]
>
> Invitations count toward your store's 1,000 emails a day. Anything over the limit stays on your list, and you can send the rest the next day.
